Documenting a risk-limit breach and escalation

Document a possible risk-limit breach with the rule version, timestamps and evidence. Separate observation, cause and responsibility; an alert is not resolution or guaranteed compensation.

When a reported figure crosses a stated limit, the current situation needs clarity and the investigation needs to remain fair. An accurate event record is not an immediate verdict against a manager. Definitions, data timing or calculations may differ, but uncertainty should not justify ignoring actual exposure.

Find the rule valid at the event time

A limit’s name is insufficient. Identify its basis, unit, account scope and measurement period. Balance drawdown differs from equity drawdown, and a quantity ceiling differs from a loss ceiling. Retain the accepted condition’s version and date. Do not apply a later condition retrospectively without a valid basis.

Separate observation time from occurrence time

A report may arrive late or contain only periodic samples. Record alert receipt, latest data time and possible crossing time separately. Where observations between two samples are unavailable, do not state the exact path with certainty. No alert does not prove compliance either; delivery and handling need separate evidence.

A hypothetical difference in measurement bases

Suppose the condition uses account equity but the supplied report contains only closed-trade balance. That report alone cannot confirm compliance. The appropriate series, relevant costs and cash flows need examination. This example proves or dismisses no actual breach and proposes no suitable threshold for an account.

What belongs in the event record?

  • The valid rule version and its scope.
  • The observed figure, calculation basis and source timestamp.
  • Relevant positions and instructions without secret information.
  • The difference between expectation and observation, including unknowns.
  • The responder, authorised action and next update deadline.

Urgent handling must remain within authority

If the agreement provides an urgent control route, the authorised person should use it. Opening a ticket must not be represented as automatically stopping risk. Equally, someone without trading authority should not submit instructions merely to make the issue appear resolved. This text directs neither increased nor reduced exposure and claims no active product emergency control.

Do not collapse cause, impact and responsibility

The observed crossing, its technical or decision-related cause and contractual responsibility are separate questions. Each needs evidence. A market jump, host outage or manager decision may require independent review. After a correction, establish whether only a reported figure was wrong or actual exposure existed. Better later results do not erase earlier evidence.

Closure should answer the original issue

Record the conclusion, new evidence, remaining disagreement and completed action with timestamps. A compensation promise or an acknowledgement is not case resolution. Consult existing routes in the help center, and managers can describe recordkeeping without secrets in a cooperation inquiry. This framework is no legal ruling, compensation guarantee or manager-performance approval.
